Version 1 Nov 2025 6 - How We Work
Behind-the-scenes logistics, made simple.
We use:
•
Rotas: Automated where possible, self-service where practical
•
Communication: WhatsApp groups, email updates, and occasional carrier pigeons
•
Meetings: Short, purposeful, and ideally with biscuits. We often have virtual options to facilitate ease of access to committee meetings.
We value:
•
Showing up when you say you will
•
Letting us know if you can’t
•
Sharing ideas, feedback, and memes. - Respect & Safety
🛡 The serious stuff, served with care.
We’re big on psychological safety, inclusion, and mutual respect. That means:
•
Safeguarding: We follow national guidance and have clear reporting routes
•
Code of Conduct: Be kind, be fair, be fabulous
•
Complaints: If something’s not right, we’ll listen and act
Quick costume change? If you witness or experience something worrying, speak to Lou or Jane. We’ll handle it with discretion and care.

Version 1 Nov 2025 7 - Events & Spectacle
Where the magic happens.
Where the curtain rises and the magic begins.
At Davenham Players, we don’t just put on shows—we create experiences. Our calendar is packed with everything from Wildean wit to modern marvels like Invisible by Jane Barrie (yes, our very own Chair—applause, please!).
You’ll find:
- Full-scale plays, both classic and contemporary
- Comedy nights that tickle your ribs
- Jazz and Folk evenings to soothe or stir the soul
- Monthly groups for acting, play reading, writing, and improv—because creativity loves company
You’re welcome to help plan events, decorate sets, or audition to perform the lead role!
Whether you fancy ‘ushing’ the public into their seats, hawking raffle tickets like a Victorian street urchin, or serving ice creams with the flair of a West End interval—there’s always a role for you in our productions or fundraising chorus line.
We aim for joy, surprise, and community connection. If you’ve got glitter in your soul, this is your moment to shine.
- Resources & Templates

Version 1 Nov 2025 8 - Feedback & Continuous Improvement
We’re always evolving.
We benchmark against other theatre groups, listen to our volunteers, and tweak things as we go. You can:
•
Share feedback anytime
•
Join improvement projects
•
Suggest new policies or rituals
We believe governance should support joy—not squash it. - Policies & Procedures
The backstage paperwork.
We keep things compliant and clear. Here’s what’s covered:

Version 1 Nov 2025 9 - Curtain Up: Your Onboarding Call
You’ve made it through the overture—now it’s time to grab your drink, take your seat, and review the programme for Act 1.
Act One: Your Mini Rehearsal (aka Onboarding Call or meeting)
Before the curtain rises on your volunteer journey, we’ll gather for a quick rehearsal—just enough to make sure everyone knows their lines, cues, and exits.
What to expect:
•
⏱ A 60-minute session (max!)
•
Held virtually or face-to-face at the theatre—depending on cast size and availability
•
A relaxed run-through of the Volunteer Handbook highlights
•
A spotlight on the “Act One” policies you need to know before stepping into your role
•
A tailored walkthrough of the duties you’ve signed up for—so we focus on the bits that matter most to you
Think of it as your backstage briefing: no pressure, no pop quiz, just a chance to get comfy with the script and ask anything that’s still fuzzy.
Your role, your rules. We’ll show you how to evidence completion (don’t worry—it’s more “tick the box” than “Oscar-worthy monologue”) and make sure you feel confident, supported, and ready to shine.
So, grab your drink, take your seat, and get ready for Act One. The spotlight’s warming up nicely.

Act One – will become new booklet!!!
Onboarding call - Volunteering Policy
Recruitment
We welcome volunteers of all backgrounds and experience levels. Roles are matched to individual strengths and interests.
Induction & Training
New volunteers receive a warm welcome, a tour of the theatre, and access to training materials.
Expenses
Volunteers may claim reasonable expenses with prior approval from the Chair or Treasurer. Some examples are on the website along with the policy – but to manage expectations, we don’t have the funds to pay for volunteer roles unless it’s an exception- such as hiring a van to collect scenery.
Supervision
Volunteers are supported by Committee members and the Learning Officer.
Health & Safety
All volunteers must follow safety procedures and attend briefings when required.
Confidentiality
Everyone must respect the privacy of others and must not share sensitive information without consent.
Complaints
A complaint is any expression of dissatisfaction, concern, or grievance raised by a member, volunteer, participant, audience member, or external stakeholder regarding the conduct, decisions, environment, or operations of the group. This may relate to behaviour, safety, inclusion, communication, fairness, or any aspect of the group’s activities or governance.
Concerns can be raised via the House / Event manager at the time, or directly with the Committee Chair., or via the Speak Up Policy.
Learning
You will be asked to complete learning relevant to the task you are volunteering for.
Commented [LW1]: Mike Linsell said Expenses – given the recent Committee discussions about paying members who provide certain services to the theatre, should we provide more detail about the type of expenses that volunteers can reasonable re-claim?
Davenham Players Volunteer Handbook – Performing in the Heart of Cheshire
Version 1 Nov 2025 11 - Safeguarding Policy
Purpose
To ensure the safety and wellbeing of all children, young people, and vulnerable adults.
Principles
•
Everyone has the right to feel safe.
•
Concerns must be reported to the Committee Chair or Learning Officer.
•
Volunteers working with children or vulnerable adults, must complete safeguarding training and, if needed, a DBS check.
Procedures
•
Never be alone with a child or vulnerable adult in a private space.
•
Avoid physical contact unless necessary and always with consent.
•
Report any disclosures or concerns immediately.
In our theatre, every role matters—and some cast members may need a little extra support to shine.
A vulnerable adult is anyone aged 18 or over who, due to physical, mental, sensory, or emotional factors, might need help to fully participate, stay safe, or feel included.
Think of it like this:
•
They might use a walker, hearing aids, or mobility support
•
They might be neurodivergent, processing the world in a beautifully unique way
•
They might be living with mental health challenges, learning differences, or temporary vulnerabilities—like a performer needing a quiet moment before stepping into the spotlight
Being vulnerable doesn’t mean being fragile—it means we, as a company, step up to offer respect, dignity, and practical support.
Our job? To make sure every person feels safe, seen, and celebrated—whether they’re centre stage or quietly working behind the scenes.
Examples
Helping a child adjust their costume in a public space with another adult present.
In a play, some physical contact is required with another, the director will discuss with all parties and if required the child and their guardian.
Taking a child aside for a private conversation without informing another adult.
Davenham Players Volunteer Handbook – Performing in the Heart of Cheshire
Version 1 Nov 2025 12 - Inclusion Policy (Casting & Volunteering)
Purpose
To promote equal opportunities, celebrate diversity, and make sure everyone—onstage or off—feels seen, heard, and valued.
Casting Guidelines
•
Roles are open to all, regardless of age, gender, ethnicity, disability, or background.
•
Auditions are welcoming, relaxed, and as accessible as we can make them—no need to arrive in full costume (unless you want to).
Volunteering Guidelines
•
All volunteers are valued equally—whether you’re painting sets, pouring drinks, or running the lights.
•
Neurodivergent, disabled, and LGBTQ+ volunteers are actively welcomed. We love a cast with range.
Accessibility Commitments
We do our best to make our theatre welcoming and workable for everyone. That includes:
•
Providing alternative formats for scripts, training materials, and communications
•
Offering flexible roles and support for different access needs
•
Ensuring physical spaces are as accessible as possible within the constraints of our historic building
Note: Our theatre is over 200 years old—full accessibility isn’t always possible (we’re still waiting for the time-travelling architect). But we’ll always be honest, creative, and proactive in finding workarounds that work for you.
Real-Life Examples
Casting a wheelchair user in a lead role and adapting staging to suit their movement and presence. Providing screen reader enabled learning and quiet spaces for neurodivergent volunteers. Offering training and tech support to anyone keen to learn—regardless of age or experience.
Assuming older volunteers can’t learn tech roles without offering training. Designing events or roles without considering access needs from the start.
Davenham Players Volunteer Handbook – Performing in the Heart of Cheshire

Expectations
•
Speak kindly and listen actively.
•
Avoid gossip, exclusion, or undermining others.
•
Respect personal boundaries and cultural differences.
Spoken Word
•
No discriminatory or offensive language.
•
Use inclusive language (e.g. “they” pronouns if unsure).
•
Give constructive feedback only.
Examples
“I liked your energy — maybe try a slower pace next time?” “You’re always messing this up — maybe someone else should do it.”

Davenham Players Volunteer Handbook – Performing in the Heart of Cheshire
Version 1 Nov 2025 15
Example Scenarios
You help set up front-of-house and see a patron’s name on a booking list — you don’t repeat it or take a photo. You share a cast member’s phone number in a WhatsApp group without their permission.
All about the socials!!
Social Media: Keep It Joyful, Keep It Kind
We love it when volunteers share their enthusiasm online—whether it’s a backstage selfie, a glowing review, or a shout-out to your fellow castmates. You’re part of the Davenham Players story, and your voice helps us reach new audiences and build community.
But remember: What you post reflects on all of us—so let’s keep the drama on stage and the kindness everywhere else.
Here’s the golden rule: Post with pride, not with poison.
Please avoid:
•
Negative, mocking, or hurtful comments about other volunteers, performances, or the group
•
Sharing private info or backstage moments without permission (what happens in the dressing room stays in the dressing room)
•
Using social media to air grievances—if something’s bothering you, speak to a committee member first. We’re here to listen and help.
Instead, do:
•
Celebrate your fellow volunteers and the magic you’re creating together
•
Share public-facing content that shows off our creativity, inclusivity, and joy
•
Tag us, cheer us on, and help spread the word about upcoming events
We’re building a reputation for warmth, respect, and theatrical brilliance. Let’s make sure our online presence reflects that—whether you’re posting a curtain call or a call for volunteers.

🎬 Sidebar: Posting Like a Pro
Need a little inspiration? Here are some safe, joyful ways to share your Davenham experience online:
“Loved helping out at tonight’s comedy night—what a crowd! Can’t wait for the next one #DavenhamPlayers #CommunityMagic” “Backstage buzz and brilliant performances—so proud to be part of this creative crew ” “Just finished my first improv session and survived! #TheatreLife #TrySomethingNew” “Rehearsals in full swing for our next show—come see us bring the drama (the good kind)!”
And a few things to avoid: “Ugh, tonight’s show was a mess. Some people really shouldn’t be on stage…” “Here’s a sneaky pic of the dressing room—don’t tell anyone!” “I’m fed up with how things are run. Maybe I’ll post about it until someone listens.”
Golden Rule: If you wouldn’t say it in the bar with the whole cast listening, don’t post it online.
Davenham Players Volunteer Handbook – Performing in the Heart of Cheshire
Version 1 Nov 2025 17 - Safety Essentials for Volunteers
Hazard Spotting & “Don’t Walk Past” Culture
•
Always stay alert for trip hazards, loose cables, blocked exits, or damaged equipment.
•
If you see a hazard, don’t ignore it — report it immediately to a committee member or designated safety lead.
•
Use the “Stop, Ask, Report” approach:
o
Stop if something feels unsafe.
o
Ask for help or clarification.
o
Report the issue clearly and promptly.
Fire Safety & Evacuation
•
Know the location of fire exits, extinguishers, and the assembly point.
•
In case of fire:
o
Raise the alarm.
o
Evacuate calmly — do not stop to collect belongings.
o
Assist others if safe to do so.
o
We gather outside in St Wilfred’s Court and only re-enter the building when advised to do by the Event Manager and Fire Safety Officer if present.
•
Fire drills are held annually — participation is expected if you are in the building when it happens.
•
Keep escape routes clear at all times.
If you are supporting our tech team – such as putting up or adjusting spotlights – full training will be provided by the tech lead. You’ll also be asked to complete our basic essentials module before you start.
Quick Reminders
•
Wear suitable footwear — no open-toed shoes backstage.
•
Avoid manual handling of heavy items alone — use trolleys or ask for help.
•
If using ladders always ensure you do so safely – if working above 1m you should have another person present in case of a fall.
•
Electrical equipment must be PAT-tested before use.
•
First aid kits are located in the Kitchen next to the noticeboard and in the Bar next to the window. There is a specialist burns First aid kit in the Kitchen on the shelves above the safe.

Lone Working — Staying Safe Behind the Scenes
Sometimes, you might find yourself working alone at the theatre — setting up props, sorting costumes, updating noticeboards, or quietly rehearsing your monologue to the ghost light. While we love your dedication, your safety is always centre stage.
When you progress to this level of volunteering, we’ll ask you to complete the Lone working training beforehand, so you know what we expect you to do to keep yourself safe. - Bar Service & Legal Responsibilities
As a volunteer working behind the bar, you are part of a licensed operation and must follow strict legal guidelines.
Serving Alcohol
•
You must not serve alcohol to anyone under 18 — this is a legal offence.
•
We operate a Challenge 25 policy: If a customer looks under 25, you must ask for valid photo ID (passport, driving licence, PASS card). If they cannot provide it, do not serve alcohol.
Responsible Service
•
If a customer appears intoxicated, do not serve further alcohol.
•
If you’re unsure, ask the Event Manager or a committee member for support.
•
You are never expected to handle difficult situations alone.
If in Doubt
•
Always err on the side of caution.
•
You will be supported if you refuse service based on age or intoxication concerns.
•
Record any incidents in the Event Log and notify the Event Manager.
There is a bar volunteer operation process document which covers this and our till in more detail.
Davenham Players Volunteer Handbook – Performing in the Heart of Cheshire
Version 1 Nov 2025 19 - Complaints Policy& Speaking Up
Purpose
This policy explains how volunteers, members, or members of the public can raise a complaint — and how we’ll respond fairly, respectfully, and promptly.
Initially when you volunteer there will be an event manager who is the committee representative, so if a complaint develops, please ask them to step in.
Speak Up & Reporting Concerns
Purpose
To empower members to raise concerns safely and confidently.
Why Speaking Up Matters
We all share responsibility for keeping our theatre safe, inclusive, and respectful. Speaking up helps prevent harm, resolve issues early, and protect our community.
Whether it’s a safety hazard, inappropriate behaviour, or something that just doesn’t feel right — your voice matters.
What You Can Speak Up About
•
Unsafe working conditions (e.g. faulty equipment, blocked exits)
•
Disrespectful or discriminatory behaviour
•
Concerns about safeguarding or wellbeing
•
Fire safety or evacuation issues
•
Anything that feels “off” or wrong — even if you’re unsure
How to Speak Up
•
In the moment: Could you challenge the person or the issue? If not, tell a committee member or trustee directly
•
After the fact: Use the confidential Speak-Up Form (available in the foyer and online)
•
In writing: Email the Chair or Secretary with your concern
•
Anonymously: You may choose not to include your name — your concern will still be taken seriously.
Davenham Players Volunteer Handbook – Performing in the Heart of Cheshire
Version 1 Nov 2025 20
What Happens Next
•
Your concern will be acknowledged and reviewed
•
You’ll be treated with respect and confidentiality
•
Action will be taken where appropriate
•
You won’t be penalised for speaking up — retaliation is strictly prohibited
Our Pledge to You
We commit to:
•
Listening without judgment
•
Acting promptly and fairly
•
Protecting your right to raise concerns
•
Creating a culture where speaking up is welcomed
Examples
Reporting unsafe practice backstage. Staying silent after hearing inappropriate comments.
Complaints vs Speak-Up Concerns
In our group, a complaint is a formal expression of dissatisfaction about behaviour, decisions, or conditions that breach our policies or affect someone’s ability to participate safely and fairly. These require documentation and may trigger formal action.
A speak-up concern, by contrast, is an informal alert about something that feels unsafe, unfair, or not quite right — raised to help prevent issues before they escalate.
Both are welcome, and both help us maintain a respectful, inclusive, and well-run environment.

Version 1 Nov 2025 22 - Welcome to the Cast — Your Role Matters!
Whether you’re a seasoned stage veteran or just stepping into the wings for the first time, we’re thrilled to have you join our troupe. The Davenham Players is more than a theatre group — it’s a community, a creative family, and occasionally, a well-organised chaos of costumes, cables, and curtain calls. And you? You’re a vital part of the show.
We want your time with us to be enjoyable, inspiring, and safe. That’s why we’ve put together this handbook — not to bore you with backstage bureaucracy, but to help everyone feel confident, included, and protected. Think of it as your script for off-stage success.
Just like learning your lines or knowing where the fire exits are (spoiler: very important), completing your induction, reading key policies, and ticking off any required learning helps keep the whole cast and crew safe. It’s not about being dramatic — unless you’re in character — it’s about making sure everyone feels respected, supported, and ready to shine.
So, take a bow for showing up, stay curious, and don’t be afraid to ask questions. We’re all here to help each other — whether it’s lifting scenery or lifting spirits. Now, let’s raise the curtain on a brilliant experience together.
Break a leg (safely, please).
